Principal Responsibilities:

The key responsibility is to support the function head in all tactical, administrative and day to day activities related to the buying or sourcing of products and services needed by the company at the best cost possible. The role is responsible to execute the placing and confirmation of the purchase orders of products required for service, general supplies for offices and facilities or any items required in the day to day running of the company with all suppliers.


  • Timely placement of purchase orders based on the approved Material Requisitions with the appropriate suppliers, ensuring the purchase orders are approved in accordance with the company policies and procedures and adhering to the company’s authority matrix as set up by Finance.
  • Communicate Purchase Orders to suppliers ensuring receipt confirmation and agreement on the delivery dates.
  • Follow-up and track all deliveries against Purchase Orders.
  • Track the status of all Purchase Orders.
  • Interaction with suppliers on a day to day developing and maintaining supplier relationship.
  • Co-ordinate issues related to non supply, under orders, over orders and damaged goods with suppliers.
  • Responsible to flag to reporting manager in event of issue with the Purchase Orders related to:
    • Orders no received or confirmed
    • Supplier unable to meet delivery date required
    • Supplier fail to deliver goods on committed date or failed to recommit a new date that is acceptable by RI
    • Supplier fail to deliver goods per Purchase Order or other variance
  • Responsible in handling Non Compliance Report for product quality monitoring and reflection back to supplier.
  • Assist the Procurement Manager with maintaining Supplier Information and records to ensure up to date information on supplier profile and contacts, pricing and terms and conditions.
  • Assist the Procurement Manager with improvement to the Procurement and Purchasing workflow through recommending improvement to day to day process.
  • Assist in identifying new suppliers.
  • Assist the Procurement Manager in maintaining and updating related reports.
  • Support the Procurement Manager in maintaining purchasing information, files and records (eg. Proposal, purchase orders, suppliers’ files, pricing from suppliers) for the purpose of ensuring the availability of documentation and compliance with company’s policies and regulatory guidelines.
  • Assist the Procurement Manager in maintaining the supplier data in Business Centre and ensure all data are accurate and up to date.
